Event Coordinator

Location: 14603 118 Ave NW Edmonton, AB
Terms: Full Time Contract from May to August.
Compensation: $22 per hour
Requirements: Must be fully available July – September.
Reports to: Office Manager & Volunteer Coordinator

Due to grant funding, this opportunity is only available for students.

Job Brief:
 

We are looking for an event coordinator to assist with the planning and execution of meetings and smaller events leading up to the festival as well as the day-to-day tasks in the office and other projects as needed.

The ideal candidate should have strong written and verbal communication skills, have creative problem-solving skills, stellar organizational skills, have a great attention to detail and be a team player.

Skills & Competencies

  • Have proficient knowledge of Microsoft Office suites, Google Workspaces and be quick to pick up new programs

  • Patience and works well under pressure

  • Well-organized with multi-tasking skills

  • Outstanding communication and negotiation ability

  • Able to handle stress and remain calm

  • Excellent problem solving and prioritizing skills

 

Responsibilities:

  • Understanding requirements for each event

  • Planning event with attention to logistical, financial and time constraints

  • Collaborate with Heritage Fest team on multiple ongoing projects

  • Coordinate with multiple stakeholders to ensure smooth implementation of multiple tasks such as: set up, tracking, training and distribution of clover point of sale systems before the festival. After the festival: tracking returned systems and organizing systems to be returned

  • Some administrative duties related to tasks that include:

  • Answer telephones and respond to email inquiries from clients and participants

  • Create, compile, update, and export databases containing all information for each event

  • Answer potential and current stakeholder questions about our process, our facility and amenities

  • Process and file documents from vendors

 

Qualifications & Requirements

  • Some experience in event management

  • Sense of ownership and pride in your performance and its impact on organization's success

  • Education in related field

Social Media Coordinator

We are looking for a passionate, talented, and creative social media and marketing coordinator to develop engaging content and copy for multiple social media platforms that is representative of our mission and vision. Implement and maintain a strong social media strategy for our company.  


The ideal candidate should have a strong understanding of the best practices for multiple media outlets and experience using tools to monitor and assess the effectiveness of the strategy. If you are a detail-oriented, creative, tech-savvy individual with excellent communication skills, we would like to meet you.

Skills & Competencies

  • Solid organizational skills and detail oriented.

  • Able to create and deliver consistent, creative content (text, image, and video) that reflects our brand.

  • Working knowledge of online marketing strategies and marketing channels.

  • Ability to anticipate and use future trends in digital technologies and act proactively.

  • Exceptional communication and interpersonal skills. Solid multitasking and project management skills.

  • Critical thinker with strong problem-solving and research proficiencies.

  • Ability to work under pressure and meet strict deadlines.

  • Creative mind with superb written and verbal communication skills.
     

Responsibilities:

  • Implement and collaborate on marketing plans alongside the Marketing Team Lead and the Heritage Fest team that includes print, and online content.

  • Manage social media accounts’ layout and assist in development of a posting schedule for each platform.

  • Create content for each account that resonates with our audience and meets our organizational goals

  • Monitor trends in social media that can be applied to our account

  • Engage with the audience by answering questions, responding to comments as well as address praises and complaints.

  • Assist with in house development of marketing documents for the festival and other events

  • Collaborate with the marketing team lead on what is working and implement any pivots in strategy after assessment

 

Qualifications & Requirements

  • Prior experience as a Social Media Coordinator or a related role.

  • Expertise in multiple social media platforms.

  • Expert knowledge of Content Management Systems (CMS) such as Later or Hootsuite.

  • Proficient in Microsoft Office, and Canva.
